Overview of Program
Dana-Farber Running Programs (RP) manages fundraising and training programs for individuals and teams in conjunction with several major road races including the Boston Marathon®, the Falmouth Road Race, and the B.A.A. Half Marathon®. In fiscal year 2017, the RP staff supported nearly 2,000 runners and race organizers in raising $8 million for cancer research and patient care at Dana-Farber by: participating on one of our official teams; running the race of their choice; or organizing a road race to benefit Dana-Farber and the Jimmy Fund.
Position and Responsibilities Summary
The Running Programs Senior Development Assistant is an integral member of an eight-person team of professionals responsible for raising funds through running and endurance athletics initiatives to advance the mission of **MEMBERS ONLY**SIGN UP NOW***. and the Jimmy Fund. This position provides extensive support to the Assistant Vice President of Running Programs through administrative operations, prospect services, event logistics for the DFMC, and other projects.

Responsible for assisting the entire Division with reaching financial goals.
PRIMARY DUTIES AND RESPONSIBILITIES:
Support the Assistant Vice President in raising Running Programs’ FY’18 revenue goal of $8.405 million.
Participant Support - Assist with DFMC, Falmouth, and other programs as needed with
Team member registration
Team member correspondence and outreach
Fundraising support and contribution deposits
Balance-due billing and follow-up
Prospect Records – Maintain and add to Division’s central database.
Prospect Reports – Assist with preparation and distribution, including materials for DFCI Trustee Delores Barr Weaver (annual DFMC event summary, quarterly Barr Program financials).
Prospect Outreach - Conduct and record 18 donor visits.
Boston Marathon Weekend - Assist with DFMC’s extensive preparations, activities, and event logistics during the five-day Boston Marathon weekend in April (third weekend of the month). On-site attendance required.
Group Runs – Prepare supplies and recruit volunteers for DFMC weekend training runs.
Team Meetings - Assist with logistics planning and support for DFMC and other team meetings.
Purchasing – Handle purchase orders, invoices, reimbursements, and corporate card and expense reconciliation. Manage inventory and warehouse contract. Place orders for fundraising program/office supplies. Track expenses for Cost of Funds Raised project and reconcile monthly expense reports.
Staff Meetings – Schedule rooms, send invitations, coordinate arrangements, and compile reports.
Administrative Reports - Compile weekly registration and revenue statistics. Draft RP entry for Business Unit/Service Unit Weekly Updates email. Track and report on DFCI Trustee involvement.
Calendars - Submit entries and revisions to schedules for Division-wide events and Institute leadership.
Annual Planning - Assist with budget, operating plan, mid-course correction, year-end report, and other yearly/cyclical processes.
Honor Roll - Work with Donor Relations to pull lists and make edits.
Division Reception - Cover Development/Jimmy Fund front desk as assigned
Business Unit Phone Hotline/Emailboxes – Provide coverage as needed
Business Unit Support – Perform other event/administrative tasks and projects as needed, for both RP and other business units.
Reports to Assistant Vice President, Running Programs. This individual will seek major decision-making authority from supervisor. Excellent judgment and independent decision-making on day-to-day tasks are required for dealing with prospects, including event participants and volunteers, donors, Institute trustees, and senior staff and other colleagues. Extreme sensitivity needed when handling confidential information.
MINIMUM JOB QUALIFICATIONS:
Bachelor’s degree required with 1-3 years’ experience in customer service and/or event coordination.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Detail-oriented with excellent verbal and written communication and organizational skills; possess the ability to work well with all DFCI Departments and donor constituencies of all levels; juggle multiple projects; and work independently in a fast-paced environment. Strong knowledge of Microsoft Office Suite is required.
