Job Description
Job Title:  Program Manager –Adult Friendship Programs

Department: State Programs and Operations

Reports to: Program Supervisor, Deputy/Area/State Director

# of direct reports: none

Position Overview:  The Program Manager for our adult friendship program works with community volunteers and local agencies that serve adults with intellectual and developmental disabilities (IDD) to develop and maintain successful one-to-one friendships.

Job Duties include, but are not limited to the below and may include additional responsibilities as needed per office:


Working throughout the community and directly with business and civic organizations to recruit adult volunteers to be matched in mutually enriching one-to-one friendships

Developing creative postings for online volunteer recruitment sites and monitoring, updating, and responding appropriately

Screening, training, and motivating volunteers, and providing support on an ongoing basis through frequent contact via phone, email, and in person

Networking throughout the IDD community to identify and select volunteers to serve as sponsors for participants with IDD; maintaining regular contact with sponsors via phone, email, and in person

Managing a wait list of potential participants with and without IDD and keeping them engaged

Promoting the e-Buddies program to people with IDD

Managing all aspects of the matching process, including conducting home visits,  selecting compatible participants, training individuals with and without IDD, and scheduling and facilitating match meetings

Directly providing coaching and support (proactively whenever possible) to participants as needed to address any challenges or significant issues that arise as the friendships develop

Overseeing all day-to-day operations of local program, including maintaining an organized filing system, and providing ongoing support to all volunteers through local trainings, frequent contact, and creating and distributing a monthly e-newsletter

Planning, promoting, and implementing at least six group outings per year to increase the sense of community among program participants, and at least two annual volunteer trainings for participants with and without IDD

Participating in monthly programmatic calls

Using Kintera, Microsoft Outlook, social media and the Best Buddies Online system appropriately to communicate with participants and the community
Marketing/Fund Development

Working with supervisor(s) on fundraising events as directed

Providing referrals regarding potential donors/supporters/committee or board members/etc.  to supervisor(s) as appropriate

Soliciting community donations to use for group activities

Increasing awareness of Best Buddies and the Citizens Program through local marketing, tabling at local events, flyering, public speaking and media initiatives

Contributing content and images for updates to state website

Engaging program participants and/or leading Best Buddies Day/Month activities

Providing information as necessary for state grant/foundation/funding proposals.

Completing required reports in a timely and organized manner, including but not limited to monthly, mid-year, and end-year reports, and annual reviews.

Conducting background checks on all volunteers and maintaining files as required by state/local agencies

Ensuring that personal reimbursements and vendor payments are properly coded and completed in a timely manner

Overseeing programmatic expense budget and budgets for all group outings and activities


Job Requirements
Job Qualifications

Must be comfortable engaging with people with intellectual and developmental disabilities (IDD)

Experience recruiting, managing, and motivating volunteers

Bachelor’s degree or minimum 4 years’ relevant experience

Must be adaptable and able to quickly and effectively develop and balance multiple relationships, and get results from a variety of people

Basic presentation and facilitation skills

Basic project and time management skills

Strong written communication skills

Strong initiative, drive for results, and self-assessment skills

Ability to work independently and as part of a team

Basic understanding of social media and familiarity with Microsoft Office

Must be engaging and comfortable meeting new people, conducting home visits, attending networking events, and addressing sensitive issues

Must be willing and able to travel frequently , use personal cell phone, and work evenings and weekends as necessary in order to accomplish job responsibilities

Access to an automobile with applicable insurance
