The Volunteer Coordinator is responsible for daily coordination of volunteer activity, needs, training and recruitment for the Best Friends Los Angeles Lifesaving Center's volunteer program and assist with the NKLA Adoption Center's volunteer program as needed.\u00a0\u00a0This position also serves as a primary client service role including but not limited to: greeting, answering of general inquiries from the public by phone, mail and email, etc.\u00a0
This position will primarily work in the Best Friends LA Lifesaving Center in Mission Hills. Must be willing to work offsite for events.
Responsibilities\/Essential Duties:
Recruit and train volunteers at BFLA Lifesaving Center to meet a minimum of 75% shift fulfillment needs for all departments, and act as the on-site liaison for Volunteer Department when in office
Assist with recruiting volunteers and staffing large-scale special events for NKLA and BFAS LA
Work with Best Friends LA staff to determine volunteer position needs and strategically recruit 3,000 volunteers annually in a timely manner based on skills, experience and interest of volunteers.
Maintain database entries and volunteer scheduling for volunteers by ensuring timely data entry and utilizing volunteer support to keep data base current. Keep database current with volunteer strengths, interests and successes so that they can receive special recognition or accept responsibilities based on their proven dedication
Track and monitor shift fulfillment percentages for each department to identify areas of need, and proactively recruit and train volunteers to fill missing percentage gaps
Maintain frequent communication with volunteers via email and phone to keep them engaged. Motivate volunteers to continue with the program, potentially accepting leadership roles.
Follow-through with volunteers to thank them for their efforts and keep them engaged and active in their positions.
Host frequent First Day Trainings and assist with the coordination of department-specific trainings for volunteers. In addition, being available to host additional trainings for all departments in the event of staff shortages or last-minute scheduling changes.
Ensure that all BFLA and\/or NKLA staff and volunteers are trained and performing in conjunction with policies and procedures of BFAS, and ensure delivery of quality customer service including dissemination of appropriate information as well as performing duties in a manner which encourages attainment of goals, contributions and business for BFAS and its programs
Coordinate and train volunteers for various offsite events and activities that support both NKLA and Best Friends Animal Society
Handle volunteer complaints, conflict and conflict resolutions issues pertaining to Best Friends with management.
Other duties as assigned by Volunteer and Internships Programming Lead, Lifesaving Manager, Senior Manager of Operations, or LA City Director.
\u00a0Additional duties:
Provide as-needed support for all positive outcome programming. This includes but is not limited to Foster and Adoption programming.
Facilitate the complete adoption process including but not limited to:
Full counseling and clerking duties according to Best Friends standards and philosophy
Survey creation, execution and assessment
Checklist creation, management, training
Agreement creation, facilitation and tracking
Medical records management
Health certificates management
Adoption follow-ups
Written correspondence, email, and phone calls during large promotional adoption events.

Required skills and experience:
2 Years administrative leadership and\/or supervisory experience required.
Must possess strong interpersonal skills. The ideal person for this job would be a team player, personable, professional, and able to get along well with a variety of people.
Must be comfortable with change and ability to work well under pressure.
Must be able to professionally advocate Best Friends' positions on issues.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Proven ability for project management and financial planning experience with track record in attaining stated goals.
Must demonstrate strong written and oral communication skills.
Must demonstrate excellent organizational and time management skills, as well as attention to detail.
Must have ability to consistently meet deadlines.
Must have proficiency with MS Office applications, especially Word, Excel, and Outlook.
Must be comfortable learning and using online information systems.
Must be flexible and enjoy handling a variety of tasks.
Valid Driver's License with access to transportation to travel on organization business is required.\u00a0
Physical Requirements:
Ability to lift 50 lbs.
Ability to participate in events including nights and weekends and assist in the set-up and breakdown of events, which may involve moderate physical exertion.
Extended work at a computer with repetitive typing, arm and hand motion.
Periodic trips to various out-of-state locations such as Kanab, Utah which may require use of public transportation.\u00a0
