This position will sit within the Managing Director's Office (MDO) which provides oversight of the City's major operating departments. The MDO provides support, assistance, and coordination to build sustainable infrastructure within and across departments, ensuring the efficient delivery of quality services to the public.
The Citywide Out-of-School Time (OST) Initiative is developing a shared, coordinated and inclusive OST system that reaches ambitious goals on behalf of Philadelphia's young people. This is a cross-sector, holistic initiative that is working to align various OST efforts from city departments as well as other existing and potential OST stakeholders.
Philly Reading Coaches (PRC) is a new program, based on proven models, that combines early reading support, access to books, and community volunteers to boost reading skills for our city's children. The program works by pairing trained volunteers with young students - kindergarten through 3rd grade, and by providing fun and child-guided reading experiences that help build reading skills and motivation. Each child in the program also receives 25 free books to take home.
The PRC Volunteer Program Assistant (VPC) is a new, grant-funded position that is a key part in expanding the City's early literacy intervention pilot in the out-of-school time space. The VPC will assist the OST Volunteer Program Manager (VPM) in organizing a concerted citywide recruitment effort to meet PRC's program needs. This involves back-end information management and active recruitment in the field.
The VPC's roles include recruitment and backend support in maintaining a diverse portfolio of volunteers to serve as literacy tutors at our reading sites. The VPC will work in close coordination with the PRC Program Manager, Regional Coordinators and Site Coordinators to make sure that PRC's volunteer needs are met or exceeded. The VPC will work closely with the VPM to realize a multi-faceted citywide recruitment effort. The VPC will provide office support for recruitment, including planning and follow-up, tracking recruitment goals and maintaining an online database that stores volunteer information and clearances. The VPC will also work with the VPM to organize within the community, build partnerships, recruit volunteers, and raise awareness of PRC.
This is a full-time temporary grant-funded position for two years.
The duties of the Volunteer Program Assistant include:
Volunteer Engagement and Processing
Act as first point of contact for volunteers, and assist them with enrollment and background checks
Collecting clearances and running background checks to ensure that volunteers meet PA state requirements
Maintain a database of volunteer records and clearances
Recruit and enroll over 1,000 volunteers to fill Philly Reading Coaches shifts
Help develop and implement a comprehensive, year-round recruitment strategy with VPM
General PRC Support
Asset mapping and research
Presenting at information sessions and tabling events
Office support for PRC Team
Bridging PRC site needs and volunteer placement
Filling in as Site Coordinator in the event of absence
Compile and produce monthly reports
Create a database of volunteer stories and quotes
Working with the PRC team to develop continued training for volunteers
Support PRC program staff in conducting orientations for new volunteers as necessary
Other relevant duties as assigned
Bachelor's degree or equivalent experience
Experience in customer service, marketing, client management, community organizing or similar field
Demonstrates knowledge of the Philadelphia regional educational and youth development landscape and the broader community
Knowledge of Philadelphia geography and neighborhoods
Valid Driver's License and willingness to travel within the City
Database management experience and high level of comfort with MS Office, Google Suite
Flexibility and adaptability in work style and work schedule, including some night and weekend time
Preference for bilingual speaker (Spanish)
